Add a student
Start with the parent, then the child. Parents get their sign-in by email.
- Open Students → Add Student. It takes five short steps, and the first one is the parents.
- Parents. If the parent is already on record (for example they are bringing a second or third child), choose Already on record, search for them and press Choose. Otherwise choose New parent and enter their name, email, phone and occupation. You can do this for a first and a second parent, or Skip either one.
- Personal, health and class. Fill in the child's details and choose their class and arm.
- Address and review. Check the summary and submit.
- Each parent is emailed their sign-in and the child's. An admission letter is saved on the student's profile.
You can also start from the parent. Open the parent in Parent Portal → Parents Directory and press Add a child (or Register a new child in their Children list). The form opens with that parent already chosen and goes straight to the child's details. After saving, Add another student keeps the same parent, which is quick for brothers and sisters.
Parents are optional. If you add none, nobody is emailed, so the student's sign-in is shown once on the screen for you to write down. You can add or link a parent at any time later. See
How parents get an account.
Before a student can be added, your school needs a paid place for them. If you have no free places, Lumbyte shows you where to pay first, and enrolment continues straight after. See
Plans, billing & add-ons.
Import many students from a spreadsheet
Upload a CSV file to enrol a whole class or school at once.
- Open Settings → Data and, under Import students, choose Template to download the CSV file.
- Fill in one row per student under the first row. Do not change the first row. Its columns are firstName, lastName, middleName, gender, dob, admissionNum, className, armName, parentEmail, parentName.
- Save the file as CSV and choose Choose CSV file.
- Lumbyte checks the file first. If you have fewer paid places than rows, it tells you how many more to pay for before importing.
An import records one parent for each student. To add a second parent, open the parent section afterwards and link the child to them.
Each imported student and parent gets their own unique password. Nobody shares a default password. The passwords are shown only once, so use Download logins straight after the import and keep the file safe. If you lose it, reset any password from the person's profile.
Lumbyte tells you how many people were added and lists every row it skipped, with the reason (for example a repeated admission number or a parent email that belongs to another account). Fix those rows and import the file again. People who were already added are not duplicated.
Move students between classes
Relocate students in bulk when classes are reorganised.
- Open Students → Class Allocation.
- Choose the class and arm you are moving students from.
- Tick the students to move.
- Choose the destination class and arm and confirm.
Take and review attendance
Mark Present, Absent, Late or Excused for a class each day.
Class teachers take attendance from Attendance in their portal. Administrators can also record and review it from Students → Attendance.
- Choose the class and the date.
- Mark each student Present, Absent, Late or Excused, or use All Present and change the exceptions.
- Save the register.
Parents see their own child's attendance rate and recent days in the parent portal. Nothing is shown unless it has actually been recorded.
Student documents and ID cards
Keep documents on file and print an ID card.
Open a student's profile to upload documents such as a birth certificate or previous report. Students → Documents shows which students still have documents missing, and you can filter to those students.
From a student's profile, choose the ID card button to open a printable card for that student.
See your enrolment at a glance
How many students you have, by status, class and gender.
Open Students → Student Dashboard. It shows the real counts for your school: total, active, graduated and suspended students, how many are in each class, and the split between boys and girls.
If some students have not been placed in a class, a reminder appears with a link to Class Allocation so you can place them.
Promote or graduate students at the end of a session
Move a whole class up, hold some back, and graduate the final year.
- Open Academics → Promotion & Graduation.
- Choose the term you are promoting from, the term you are promoting to, and the class.
- Review the list, untick any student who should repeat, and confirm.
Promotion changes class records for many students at once. Check the list carefully before you confirm.
